pricing & budgeting basics
The price tag for a catered reception depends on many variables, including menu, staffing, and equipment rental needs. Prices for a buffet dinner with hors d’oeuvres, linens, china and staffing tend to range between $70 and $110 per person, depending on options selected.
Questions to think about when planning a wedding include:
- How many guests will be attending? In general, the lower the guest count, the higher the per-person price will be because costs are spread among fewer people.
- How formal is the event going to be? A multi-course sit-down meal, a chic cocktail mixer, an upscale BBQ, or somewhere in between?
- How much food do I want to serve my guests? A full meal? Just desserts? Light hors d’oeuvres only?
- What type of beverage service would I like to offer my guests? Full bar, beer and wine only, or non-alcoholic beverages?
- Are we going to have a champagne toast?
- Would I like to offer a signature drink during the cocktail hour?
- Do I want to offer my guests coffee after dinner?
- How long will the reception last? The average length is 4 hours, but it may run shorter or longer.
- Do I want china, or is the event casual enough that disposables may be appropriate?
- Does my event site already provide tables and chairs? If not, these must be rented at additional cost.
